2018-07-02: Right to open and close deadlines owned by agents

We have added to the IP management user group a right to open and close deadlines owned by agents. Reopening of deadlines is done by changing the statuses of the owner and recipient. Closing a deadline is done by changing the owner's status as Finished. Remember to save the change! The owner of the deadline activity will receive an e-mail notification regarding the status change on the deadline.

2018-06-26: Changes in Admin Import / Export functions

We've made changes to the Admin tools, Import / Export function.

The Case data option now also includes custom fields, and therefore no separate Extended Case data option is needed. In addition to the Deadlines, it is now possible to update workspace Actions using admin tools. It is also possible to mass-update User Accounts.

The following import / export data options now use new Greip API: Case data, Actions, Deadlines, Inventors, Inventions reports, Invention compensations, Org. Units and User Accounts. Own invoice data, Family data and IP landscape data will be changed to use the Application Programming Interface later.

Now you can choose to export data from all databases at the same time. Please note, however, that only in the cases in the Owncase-database, all case data can be updated. Cases in Berggren database only the same fields as in the user interface can be updated via import for now.

Please note that these this update caused some changes in the form of the import/export files, so we recommend taking a fresh export file in the Admin tools section for the next import.

2018-06-04: Dropdown menus in searches changed

We have changed the drop-down menus in searches to enable the search forms to be loaded faster.

Type the value, or at least three first letters, to the search field and the matching values are listed for you to select as search criteria.

Alternatively you can click on Show all and all values of that field are listed for you.

For example, type fin... as a Country and Finland is listed for you to click to be selected ad search criteria.

Once you have clicked on the value in the yellow list, you can perfrom the search or select another criteria.

 

2018-04-27: Changes and updates on Greip™ Service

IP Management: Family Search

More case level date fields are now available on family search. You can create searches such as all families where any member has been granted during last 12 Months.

IP Services: Invention Search

Deadline dates has been added to Invention Report search as search criteria. There is also a new parametre “myself” added as invention responsible search option. With these new search options, you can create lists of pending actions and create My Greip bookmark for a group. With Invention Responsible: myself option any user will get their own pending actions.

Portfolios

Income chart has been added on portfolio page, just next to cost chart. Chart shows income from all active portfolio members. Chart is hidden if there is no income figures available.

Graphical reports

Charts engine for Greip™ has been updated. There is now possibility to export a multi-series chart in XLS format, and with few clicks add chart as XLS raw data to your Excel sheet or Power Point presentation. Also colours and look changed slightly.

Workspaces

Status changes for Greip™ deadline Workspaces can be set off. This feature has been available for the action Workspaces and now you can set “traffic lights” off for the deadlines too. Also, this option is available for new deadline via agent reporting form.

Annuity and Renewal deadlines have new field for estimated annuity payment / renewal cost. This field is available also when issuing new Annuity or Renewal deadline with agent reporting form.

Greip™ Help on sidebar

You can write organisation specific instructions to Greip™ instructions  section. Instructions are page specific and first tab contains generic Greip™ information and instructions and second tab is for organisation specific instructions, policies and guides. Company tab is editable by the admin user. Instructions are possible to write in Finnish, Swedish and English. Text may contain formatting, images, links, etc. and there is possible to attach all types of documents. Example you can have invention policy of your organisation on the Invention Report page.

2018-04-11: Changes for Greip™ Workspaces

An email recipient can be added as a recipient on a deadline workspace. For example an inventor or other external user who doesn't have an account for the Greip™ service. Email recipient has limited access on to a spesific workspace.

You can now link a deadline to on a deadline workspace. Link is two way, thus linking is visible on both deadline workspaces. A linked deadline is searched as any other linked item.

Invention responsible and invention evaluator has been added behind Related to button when adding new recipients. Also all roles of the recipient are now visible on recipient drop-down menu.

Reminder will be sent also on the deadline day. Previously the reminder was sent only three days before deadline.

2018-03-27: Change in case visibility - check the needed Agent licenses

Greip™ Service principle is that client’s cases are visible to agent according to whether the client has acquired an agent license. We have updated the case visibility and Reporting Greip™ interface according to this principle. If the client has not informed us that the agent is handling their cases in the Greip™ Service, the cases are no longer visible to the agent in question.



Please contact Greip™ support (servicedesk@greip.fi) in case you need information regarding current agent licenses or if you notice that an agent lacks the visibility or license and will correct the license and the case visibility as needed.

2018-03-20: Greip Complete: The responsible of the family will automatically be updated to family members missing case responsible

We have implemented a functionality that updates the responsible of the family to the case responsible field when the responsible is missing from the case level.

2018-03-20: Greip Complete: Folder level taken into use at the CLM Tool

We have created a Folder level to the Contract Lifecycle Management Tool in Greip™ to enable easier management of contract cases. The new Folder responds to the Family of the IP Management. You can give a title, reference and responsible for each Folder. We introduce also a new Folder Search feature in the CLM Tool.

We will continue to develop the CLM Tool and we will bring new functionalities to the tool during 2018.

2018-03-20: Greip Complete: Regarding email notifications sent by the Greip™ Service

The Greip™ Service sends a summary email notification to the Agent handling the case reagarding changes made by the Client in following fields:

  • Case responsible
  • Client’s case reference
  • Client’s family reference

The summary email notification is sent 12 hours after the last change on a case.

2018-03-20: Greip Complete: Client’s own reference now updatable in cases handled by Berggren

It is now possible to update Client’s own reference also in cases handled by Berggren. The information of the changed reference is sent to the Agent via email summary notification.

2018-02-23: Case status field changed

IP case status field has changed to contain only the status active, archived or to be abandoned. Cases with any other status has been changed as active. Case status shows the state of the case from Greip™ service point of view. The status is used for tracking case status on Greip™ service. To track the IP case lifecycle, please use the Phase information with Case type information.

2018-01-25: Possibility to update the main patent claim added in the Agent Reporting Interface

Updating the patent claim history is now possible also via the Agent Reporting Interface. The main claim can be added via the reporting forms.

2018-01-10: Archived cases on Greip™ Service

We have changed the function of archived cases on Greip™ service. With IP Management user rights you can activate archived cases. Any edits or status changes of an archived case will be tracked and the case is charged as active, if the case has any edits or if it has been set as active any time during the tracking period (based on your agreement, typically a quartal). If you edit the case information without changing the status to active, case will be charged as active on on-going quartal. In order to attach documents or create related workspaces (deadlines or actions), you need to change the status as active or to be abandoned. Please note that if you change the status to archived, all related workspaces will be automatically closed.

2017-06-14: Changes and updates on Greip™ Service

Greip™ Complete, Greip™ Plus and Greip™ Express: Workspaces

Adding recipients to a Workspace is now easier as Case Responsible and Agent has been moved to the top of the drop-down menu, if the Workspace is connected to a Case and the information is set for the Case.

You can check what kind of notifications has been sent to recipients and when from the notification log on Greip™ Workspaces. Notification log can be viewed by clicking the i-icon next to reciepient name on the Workspace.

Greip™ Complete: Workspaces

Workspaces Advanced search form has new search options. You can now search with customised fields of Cases and Families, and also Decision of Decision Items. Decision is also added as a column on the search result list.

Greip® Complete: IP Management

There is a new Case type for trademarks: Unregistered trademark. This case type is available for owncases.

It is now possible to mass update links to IPR Families and Cases on Related to field. With Related to field you can link cases and families together. Mass update enables updating large numbers of cases at once.

The Agent can now update Organisation/Unit field of a Client case. The Agent can update the Organisation/Unit information only after the case has been saved with the Client company information. The Agent needs to be the case responsible Agent and to the Organisation/Unit field can be only chosen values set on the Client company Greip™ settings on Admin > Org./Units. The Orgasanisation/Unit information can be used to limit visibility of the cases for the Client user accounts or to create searches and reports.

Cost estimates has been added to Graphical reports as a new value for Y axis.

Greip™ Complete: Inventions

Invention Reports can now be imported to Greip™ Inventions as mass update. Greip™ Service Desk will help you if you need any assistance in importing Invention Reports.

Inventions Tool Admin user can help Inventors already on drafting phase of the Invention Report. Admin users can search the Invention Reports on Draft mode with search option Status is Draft. Please note! Invention Report drafts have been removed from the search result with Status is All. Admin users can also edit the Invention Report on behalf of the Inventors.

Invention Report customised fields can be set visible on read mode on other Invention Report tabs. E.g. Information from Evaluation tab can be shown on Invention Report form tab, so Inventors could see some parts of the evaluation, or research project information from Invention Report form tab can be shown on Internal tab. Visibility can be set to any customised field.

2017-05-24: Greip™ Complete: Reporting Greip™ report reminders to multiple recipients

Now it is possible to define multiple recipients for Reporting Greip™ reports. In Settings (Setup > Notification settings > Reporting Greip™ notifications) you can define a recipient for all Reporting Greip™ report notification copies. You can also define different options for Reporting Greip™ default recipient.

Rules are checked row by row from the top until first match is found. Example by settings on below, report notifications related to a patent case are sent to Raimo Insinööri and Pekka Patent. While notifications related to a trademark case of R&D unit are sent to Heikki Kinnunen and Liisa Laitosjohtaja.

2017-05-05: Adding a recipient to Greip™ workspace

We have opened possibility to add a recipient to an action workspace by any of the logged in recipients of the workspace. You can always add Greip™ users as recipients and if owner of the workspace has set the security level to lower level, then you can also add e-mail recipients. If you would like to add a recipient outside your organisation, you might need to add the user to your Greip™ address book.

2017-05-05: Import a deadline or an action date to your calendar

We brought to the Greip™ solution a possibility to import deadlines to your calendar. You will find a link to the calendar item next by any due date or deadline, where you can open and save the .ics file to your calendar. File format (.ics) is used and supported by all common calendar applications.

  • Share and Contribution fields can be marked as mandatory on the Invention Tool customisation

2017-03-14: Greip™ Complete: Reporting Greip™ report acceptance allows you to add multiple recipients

Person accepting the Reporting Greip™ report can add multiple recipients for the deadline workspace which is automatically created from the accepted report. An user or a group can be added as a recipient. When a group is selected, only Greip™ users are added as recipients. All recipients on the deadline workspace created will have status Action required.

2017-03-07: Address book and groups on Greip™

You can find address book from the top menu as an own section. On the address book you can view all organisation contacts and your personal contacts, you can add new contacts and create and manage groups. Contacts and groups can be used as recipients on workspaces, read and admin rights management on Portfolios, Invention report evaluators and default evaluators and as decision makers on Decision tool.

2017-02-10: Recent updates on Greip™ service

Workspace e-mail notifications has been updated. Related matter references are now visible on e-mail subject line. You can see your status from the new workspace assigned to you notification subject line (e.g. actions required). You can see case type and country of the related case or cases from the notification subject line.

 

Report chart edit functions has been moved behind edit icon. New feature is setting the divisional lines for the Y axis.

 

You can now select family members titles to be shown on family search results. On advanced search you can search with last edit time of grant and filing dates.

 

You can define Inventor Share and Inventor's contribution fields to be mandatory and editable from Invention report customisation section. You can select field values from similar type of the fields on Customisation section at Setup.

 

On Invention report and Internal data tab, you can check the update history of the invention report from arrow down icon.

 

If you save an invention report as a draft, all co-inventors will have an e-mail notification and link to the invention report draft.

2017-01-23: Greip ™ service moves to a new data center as planned – Service break on Sat 28th January 2017 between 14-16 EET

Greip ™ service moves to a modern Equinix data center in Helsinki.

The data center is certified with ISO 27001, ISO 9001, ISO 14001 and OHSAS 18001 certificates.

2017-01-16: Update for adding documents on Workspaces

There is a small enhancement for adding documents on a workspace. Documents can be added by drag&drop from your computer. You can also add documents via Add document dialog. Unfortunately adding documents by drag&drop doesn't work with Internet Explorer.

2017-01-16: Update for text editing on Workspaces

It is now possible to edit text of an activity and workspace comments with different text effects. You can have italic, bold, underlined and strikethrough text. You can add different indents, alignments, lists and colours for you text, and you can add links too. Text can be also copied and pasted from e.g. Word, Power Point or Excel files or from web sites.

2016-12-21: Greip Complete: Changes in handling the inventor info in Invention and Idea tools

The changes in handling inventor information in the Invention tool are mainly visual. The same changes apply also in the Idea tool for creator information.

As previously, adding an inventor happens by clicking + sign. The button is now located right after the inventor info on the left hand side of the field.

Add inventor by clicking + sign and search using name or email address. List of inventors matching the search appears after typing three characters and is narrowed accordingly when typing more to the search criteria. At the end of the search list, there is Add new inventor option and by clicking this, a new inventor record can be created in case relevant record doesn’t already exist.

The user submitting the invention report fills in name, email and employer info of the co-inventors. The other inventor information is filled in by each the inventor for themselves. Inventors do not have access to other information of their co-inventors than the name, email and employer info as listed above.

The management users handling the inventions can now access the complete inventor records directly from the invention without having to use the Inventors-register search.

2016-12-21: Greip Complete: Changes in Inventor information handling in IP Management

Previously in IP management section the inventor information has been free text. We have now created an inventor register where the inventor information is stored, and added Share and Contribution fields at case level. The inventor info is linked from the inventor register to the case and Share and Contribution info is saved per case on the case level.

Add inventor info by clicking + sign and search using name or email address. List of inventors matching the search appears after typing three characters and is narrowed accordingly when typing more to the search criteria. At the end of the search list, there is Add new inventor option and by clicking this, a new inventor record can be created in case relevant record does not already exist.

The agent marked on the case (excl. Berggren cases, related info in separate paragraph) can view inventors’ name, email address, nationality and postal address information. Agents can search and add inventors to the case from the clients’ inventor register as well as remove inventors from the case, but agent is not able to access the inventor register to modify or add new inventor records.

Inventors register appears now in the Admin menu. In the past the Inventors register has been available for organisations using Invention Tool only. Inventors register is still available in the Invention Tool as it has been previously. There is access to the same inventor register from the Admin menu and in the inventor list in the Admin menu there is mentioned the number of cases in the IP management section linked to the inventor record instead of the number of inventions in the Invention tool.

During the implementation of the new inventor information features, the free text inventors have been matched according to first and family name to the inventor register or created new inventor records in case relevant inventor record did not exist already.

In the cases handled by Berggren agents, the inventors’ names are linked to agents’ inventor registers. We have linked the agent’s and client’s inventor records to make connection from the inventor record to the relevant cases. Please note when updating inventor record that the information is updated on all cases in which the inventor appears. Also please note that in these cases it is not possible to add or remove inventors on the case and the agent‘s inventor record is not updated automatically according to the changes made in Greip Service. In case there is need for correction in the inventor information, please contact the agent.

The use of the inventor register also in IP management enables adding rights to inventors’ user account to access cases in IP mgmt in which the user is marked as the inventor.

2016-12-21: Changes in Administration menu structure

We have divided Administration menu into Admin and Setup menus.

Following functions have been moved to Setup: Customize and Select fields, Reminder settings, Financial periods, Document classes, Contract class management, Landscape admin and Invoice types.

These settings are typically defined during implementation phase and adjusted as necessary during the use.

From now on following functions are located in Admin menu: Accounts, Org. Units, Inventors, IP data import and export and local agent information.

In Admin menu there are tools for data mass updates as well as registers to be updated and maintained.

2016-12-13: Workspace actions without statuses

It is now possible to turn off the status changes on the workspace actions.

Owner and recipients (excl. email recipients, no license) are able to turn off (and turn on) the status changes as necessary.

The status changes are turned off/on in the beginning of the Communication-area on the action.

Once the status changes are turned off, the statuses are no longer visible on the action (nor on the workspace search result).

It is possible to search actions in which the status changes have been turned off by selecting “No status”.
